Privacy Policy for ScanDoc Word and PDF2Word

1. Services covered by this policy

This Privacy Policy applies to the ScanDoc Word website and the PDF2Word iOS app. The services help users upload PDF files, analyze page counts, select pages, convert scanned or image-based PDF files into editable Word documents, and download converted files.

2. Information we process

To provide the conversion service, we may process the PDF files you upload, generated DOCX files, file names, file size, page count, selected page ranges, conversion task status, download links, error messages, and timestamps.

To support daily free usage limits and prevent light abuse, we may process technical identifiers such as device identifiers generated by the app, browser-based guest identifiers, IP address, authentication tokens, and conversion usage counts. If account login or paid features are added later, we may also process account and purchase status information required to provide those features.

3. How we use information

We use the information described above to upload and analyze documents, run OCR and PDF-to-Word conversion, show conversion progress, generate download links, enforce the daily free conversion limit, troubleshoot failed jobs, maintain service security, prevent abuse, and improve product reliability.

4. Uploaded files and temporary storage

Uploaded PDFs and generated Word files are used only to complete the conversion requested by the user. Files are stored temporarily so the service can process the task and provide a download link.

Uploaded PDFs, generated Word files, and related task records are automatically cleaned after about 96 hours. Some temporary or orphaned files may be removed by the next scheduled cleanup job.

5. No sale of personal data and no advertising tracking

We do not sell uploaded documents or personal information. We do not use uploaded documents to build advertising profiles. The current service does not use third-party advertising tracking.

6. Model training

Uploaded user documents are not used to train public machine learning models. Conversion quality improvements should rely on product telemetry, user-submitted feedback, and separate test files rather than private user documents.

7. Manual review

Document conversions are processed automatically. We do not manually review uploaded files unless needed for support requested by the user, abuse prevention, security investigation, or legal compliance.

8. Sharing and service providers

We may use infrastructure, storage, OCR, conversion, and payment service providers to operate the website and app. These providers process information only as needed to deliver the service, maintain security, process payments, or comply with legal requirements.

9. App Store privacy categories

For App Store privacy disclosures, the app may collect or process User Content, Identifiers, Usage Data, Diagnostics, and Purchase-related information if in-app purchases are enabled. These data types are used for app functionality, account or quota management, conversion history, service reliability, analytics, and payment entitlement handling. They are not used for third-party advertising tracking.

10. Security

We use HTTPS and reasonable technical measures to protect uploads, downloads, and service requests. No online service can guarantee absolute security, so users should avoid uploading documents that they are not allowed to share with a cloud conversion service.

11. Your choices

You can choose not to upload a document. You can also remove local browser data, sign out when account features are available, or contact us about privacy and file-handling questions. Failed conversion tasks do not count against the daily free conversion limit.

12. Children

The service is intended for general productivity and document conversion use. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

13. Changes to this policy

We may update this Privacy Policy as the product changes, including when account login, paid subscriptions, or additional conversion tools are added. The updated version will be posted on this page with a new effective date.
